Multisite Event Strategic Approval Form

This form is designed to ensure that ministry leaders thoroughly consider and document the strategic objectives of their planned events before resource allocation. It notifies Campus Managers about shared resource requirements so they can effectively coordinate support across our multisite campus ministries.

  1. Check the campus strategic event calendar(s) for any potentially conflicting events:

  2. Create the event (or recurring) reservation from your ministry department or team calendar:

    All Staff

    Children

    Select the day and time when you want to create the event on Google Calendar.

    Click on the Calendar name at the bottom of the dialog

    If the Department/Team calendar isn't yet shown, click on the Calendar name dropdown to select it from the list

  3. Title the event using our standard format: CAMPUS ABVR - Department ABRV - Event name

    1. To distinguish between a campus-specific event and a multi-campus (or even church-wide) event, regardless of location, the title of the event should include one of our standard campus designations as the first part of the calendar title:

      The All title applies to any event that strategically spans more than one campus. For more information about event tiers, visit How We Resource.

    2. The second part of the title should indicate the requesting or hosting ministry (sometimes called the “calendar of origin”), using the following standard abbreviations:

  4. If there is setup or cleanup time required for the event, the calendar reservation start and end time should include that time.

  5. Under Add description or attachments, please include all of the relevant details (template below) for strategic evaluation by the Campus Facilities Team in the description:

  6. Under Add rooms or location, select the room(s) you’re requesting to reserve for your event or meeting.

  7. After confirming that you’re adding the event to the correct campus strategic event calendar from the correct ministry department or team calendar, click Save to complete your facility request.

Once your event is approved, ask your admin to move forward with each of your follow-up requests for outside department resourcing:

  1. Communications request
  2. Worship + Production request
  3. Childcare request

Each resourcing department will review your requests and begin working to equip and support your event as effectively as possible while balancing all of the strategic demands and requirements of their team.
