Is your ministry hosting an event? Here are the steps to set up an event in CCB once the event has been approved through the calendar process.
- Create the “Event” in the correct Group.
- You do NOT need to create a new group for every event. Think about who the event is for/who the event serves.
- Women’s Event: Create the event in the Campus Women’s Group
- Family Event: Create the event in the Campus Attendee Group
- Membership: Create the event in the Campus Attendee Group
- Check out the Event Document for steps on how to create an event.
- Create an RSVP/Registration “Form”.
- Check out the Form document for steps on how to create a form.
- Make sure you add the question: What campus do you attend?
- This is a great way for us to find out more about the people attending plus know more about what campus they call their home church.
- Make sure you automate the form to the event AND to the group.
- Example: Grace Kids Family Movie night at Anderson. Create the event in the Anderson Attendee Group. Automate the RSVP form to the event in the Anderson Attendee Group and to the Anderson Attendee Group.
- Make sure to keep up with the form as people RSVP/sign up through a form.
- Match people as needed to their profile.
- Update profiles as needed with emails, phone numbers, campus, etc.
- Note: If you change someone's email address, it can affect their login.
- If you are managing a form for a Youth or GraceKids Event (anything with minors), we want to make sure that the minor also has a parent in their profile. Use the data you collected from the form to also create the parent profile. Minors can not be in CCB alone. If they are guests and do not attend Grace Bible Church, make sure they are marked “Grace Network” as their campus AND membership type.
FAQ
- It is a low-key event for only about 30 people, do I still need to add it to CCB?
- I’m worried that people won’t come because they have to RSVP, and I don’t want to create a barrier for people to come to an event.
