Annual PTO Allotment

Fellows are given 12 days (96 hours) of Vacation PTO when they begin in August (August 1 for returning Fellows), which is available to use through the following July 31. Fellows are also given 10 days (80 hours) of Illness/Family PTO each year.

Fellows who begin in January receive a prorated amount of 7 days (56 hours) of Vacation PTO and 6 days (48 hours) of Illness/Family PTO, available through July 31.

PTO Rollover

Up to 80 hours of Vacation PTO and 80 hours of Illness/Family PTO may roll over into a Fellow's next Fellows year. Any leave above these amounts will be forfeited after July 31. Fellows will not receive monetary compensation for unused PTO at the end of a Fellows year.

Requesting Vacation Leave

Vacation requests should be submitted at least two weeks in advance.

1. Ask your department supervisor for approval.

Before submitting a PTO request, email your department supervisor & administrator to receive approval for the dates you plan to be out. Consider your department's calendar, responsibilities, and any events or meetings that may be affected.

2. Submit your leave request through Vacation Tracker.

Once your supervisor has approved the dates, submit the Vacation PTO request in Vacation Tracker.

3. Wait for final approval from the Fellows Program.

Your request is not considered finalized until it has been submitted through Vacation Tracker and approved by the Fellows Program. Once it is approved, it will show up on the Fellows OOO Google Calendar.

4. Make sure your time away is communicated.

Once approved, communicate your absence with anyone who needs to know and make appropriate plans for responsibilities that need to be covered while you are gone.
