Volunteers and paid workers will go through the same application onboarding process. Each campus has an “Application Onboarding - Grace Kids” process queue. There are separate steps within the process for volunteers and workers.

Review Volunteer/Leadership/Employee Application
- If Admin has been in communication with the person and knows the following: Admin adds a note in the process (will show up on the person’s profile) indicating the preferred age group, whether the person is paid, and day of the week (for mid-week paid).
- Admin checks to make sure there are no big red flags on the app, marks as done, moves to BOTH BG and CST and assigns Madeline
- Make sure you look at these two questions:
- Have you ever been charged with a sexual offense, an offense relating to children, or a crime of violence?
- Have you ever been reported to any organization or registry for abuse or misconduct?
- Verify that the applicant marked yes to agreeing with the Doctrine statements.
- Make sure you communicate within your team about who is responsible to look at the application and mark as done
- Reminder: the quicker you mark them as done in Review Volunteer Application, the faster they will receive the link to BG/CST, and move through the process.
- Queue managers: only the Admin, unless decided otherwise in your team
- Queue settings: Email all queue managers when a person is unassigned
- Next Queue: BOTH Background Check AND Child Safety Training (automatically). Make sure this is assigned to Madeline when you move them to these queues.
Background Check and Child Safety Training
- Madeline emails the person the BG and marks “waiting” when she has sent the link.
- Once the candidate has filled out the background check consent form, Maddie will run the background check and send the child safety training link at the same time.
- Marks “done” when BG is completed, moves them to interview and assigns Admin.
- When CST is completed, marks as done in the queue (there’s no next queue)
- Up to the admin to follow up with CST
- DO NOT LET SOMEONE SERVE WITHOUT A COMPLETED CST
- Queue managers: Madeline
- Queue Settings: BG: moves to Interview queue (automatically) CST: stops here (no next queue)
Interview
- Admin assigns the person to Min lead to schedule the interview.
- Mark “waiting” once the min lead has reached out.
- Mark “in process” when the interview is scheduled.
- Once the interview is completed, Min Lead marks the person as done, moves to Post-interview form, and assigns to themselves.
- Queue managers: Admin, Min leads
- Queue settings: next queue is post-interview form (automatically)
