Review Basic/Volunteer/Leadership Application
- IF the Admin has been in communication with the person and knows the info: Adds a note in the process (on the person’s involvement) indicating where they are applying to serve.
- Admin checks to make sure there are no big red flags on the app, marks as done, moves to BG and assigns queue to Madeline
- Make sure you communicate within your team about who is responsible to look at them and mark as done
- Reminder: the quicker you mark them as done in Review Application, the faster they will receive the link to BG, and move through the process.
- Queue managers: only the Admin
- Queue settings: Email all queue managers when a person is unassigned
- Next Queue: Background Check (automatically). Make sure this is assigned to Madeline when you move it to this queue.
Background Check
- Madeline emails the person the BG link and marks “waiting” when she has sent the link.
- Marks “done” when BG is completed, moves to interview and assigns Admin.
- Queue managers: Madeline and Admin
- Queue Settings: BG: moves to Interview queue (automatically)
Interview
- Admin assigns the person to Min lead to schedule the interview. (Admin can be the person to set up the interview.)
- Mark “waiting” once someone has reached out.
- Mark “in progress” when the interview is scheduled.
- Once the interview is completed-
- Add a note of who interviewed the person. Include date if you know it.
- Mark the person as done,
- Move to Post-interview form, and assign it to the person who did the confidential section (if a department min lead or fellow) or the department admin (if an outside person).
- Queue managers: Admin, Min leads
- Queue settings: next queue is post-interview form (automatically)
Post-Interview Form
- Person who interviewed them of the same gender (who completed the confidential section) completes the post-interview form found on the Drive (link in the notes). Marks as done, moves to approved/not approved and assigns to the Admin.
- If the person is not in the process queue, the interview person lets the admin know when the post-interview form is completed so the admin can mark it as done.
- Add link to Post-interview form in the notes (will need names, email, phone number)
